Event Management

Events are the main organizational unit in Passport. Each event has its own challenges, leaderboard, and reward tiers.

Creating an event

From the admin panel:

  1. Go to Events
  2. Click Create Event
  3. Fill in the event details:
    • Name
    • Description
    • Start and end date/time
    • Location
    • Cover image
  4. Save

Syncing with Luma

If your event is hosted on Luma, you can sync it directly:

  1. Go to your organization settings
  2. Paste your Luma calendar URL
  3. Passport will automatically pull in your events, including:
    • Event name, description, and cover image
    • Date, time, and location
    • RSVP/attendee data

Synced events update automatically. Any changes you make on Luma will be reflected in Passport.

Managing companies at events

Each event has a list of participating companies (builders). To add companies:

  1. Open the event in the admin panel
  2. Go to the Companies tab
  3. Add companies from the builder directory or create new ones
  4. Each company gets a unique QR code for the event

You can also generate and download QR codes in bulk for printing.

Event settings

  • Visibility — Control whether the event appears in the public event list
  • Registration — Events can be open or require Luma RSVP
  • Timezone — Set the event timezone for correct scheduling

After the event

Post-event, you can:

  • View final leaderboards and participation stats
  • Export attendee and stamp data
  • Review challenge completion rates
  • Close reward claiming if needed
